Venue

ICULTA 2020 takes place on the first floor in the MELIÃ Hotel Berlin with direct access from the lobby. The exhibition area is located within the breaktime area combined with poster session boards to ensure good integration between exhibits and scientific content. Booth numbers are not assigned in advance but will be allocated on-site during the exhibition setup.

Exhibition Conditions
 

Exhibition rate includes:

  • 1,30 m x 0,45 m draped table with a chair
  • 220 V power outlet
  • Listing on conference website and in the conference booklet
  • Free registration as conference attendee for one person

On request (free of charge):

  • Poster board (field 145 cm x 118 cm; height 192 cm)
  • Additional draped table (1,30 m x 0,45 m)
  • Round high table (0,6 m diameter)
  • Additional chair

It is forbidden to fix signs, lights or other materials to walls, windows, floor, and ceiling of the hotel (by nailing, gluing, hanging etc.).

One conference attendee registration is included. Please send name and email address of your free registrant to mfortune(at)iuva.org by April 3. Register additional staff online at the normal conference prices.

Listing as ICULTA 2020 Exhibitor

Please send your logo to mfortune(at)iuva.org before March 20th, 2020, so that it can be published in the conference booklet.

Shipping and Handling of Exhibition Material

Transport to and from the MELIÃ hotel must be organized by exhibitors themselves.

The delivery of exhibition material is possible on April 23 and 24, 2020, in the time from 08:00 to 16:00.

It will be stored in a roofed area free of charge until the conference. For safe transport to the allocated stand by a forklift (available on-site), heavy and large-sized goods should be packed on an European standard pallet EPAL (measures 80 x 120 x 14,4 cm). In this case goods must be delivered by a truck with loading ramp. Empty pallets and all packaging material will be stored free of charge during the conference.

All exhibition material must be picked up from the hotel after ICULTA preferably on the 29th, but at the latest on the 30th April 2020 in the time from 08:00 to 16:00. A longer storage is not possible. ICULTA organizers and hotel does not hold any responsibility for left goods in the exhibition and storage areas. They reserve the right to dispose of any remaining goods and to charge the exhibitor for the costs.

Exhibition Setup and Removal

The exhibitor is responsible for setting up and removing the stand.

Exhibition material delivered to the hotel will be provided by hotel staff for unpacking at the stand.

All exhibit materials must be packed and labeled for shipping. Temporarily stored packaging material will be provided by hotel staff. The packaged goods will be stored free of charge until off-site transportation.

Safety and Responsibility

Since the conference’s exhibition area is located in a publicly accessible place, we recommend locking away any valuable equipment overnight.

ICULTA 2020 organizers and MELIÃ hotel do not hold any responsibility for damage or loss of material or equipment. Therefore we recommend all exhibitors to hold a valid insurance, which covers any eventual damage or loss of stand material, exhibits, and equipment.
